The Planning Administrator will play a key role in helping us manage our production and planning system. We are in the transition of migrating from a proprietary system to NetSuite.  This role will play a major part in helping us ensure accurate details are reflected in the system from grape to bottle, as well as stay on top of supplier invoicing. You will report to the Planning Manager on the Wine Planning team. 

Primary Responsibilities:

  • Manage the planning and production system ensuring all information is entered accurately and in a timely manner
  • Manage recurring winemaker POs
  • Set up new suppliers and provide them with onboarding information
  • Support contract creation and execution via Ironclad/DocuSign
  • Audit the contract tracking spreadsheet
  • Create various reports and analysis to track PO spend, as needed
  • Process invoices from suppliers and check they match the PO system
  • Participate in weekly planning and bottling meetings
  • Compare actual volume versus planned volume in PO system
  • General system support of planning and procurement team
  • This is an evolving role with opportunities to take on more responsibilities

  • High level of integrity and discretion
  • Understands arithmetic and is comfortable working with numbers
  • Ability to multi-task and effectively prioritize in a dynamic fast-paced environment
  • Must be a self-starter with the ability to complete activities with minimal direction 
  • Must have good organizational skills and the ability to follow through on projects
  • Exceptional oral and written communication skills 
  • Professional attitude and a strong work ethic 
  • Well-developed analytical skills with the ability to identify and resolve problems in a timely manner 
 

Qualifications:

  • High school diploma or equivalent required
  • Bachelor's degree preferred
  • NetSuite experience preferred
  • 2 to 4 years work experience in an administrative role required
  • Bookkeeping or financial administrative experience preferred
  • Knowledge of Microsoft Office tools and Google Office tools
  • Track record of exceptional decision making and communication skills
  • Strong computer, technical and analytical skills
  • Wine industry related experience preferred
 

Compensation & Benefits:

  • $55k annually
  • Annual Bonus
  • Health, Dental, and Vision Insurance - 90% employee coverage, 60% dependent coverage. Eligible Day 1. 
  • Holiday allowance - 34 days of paid time off, including 20 days of accrued paid time off (PTO) and 12 paid company holidays. Paid time off also includes your Birthday, plus one additional day for Volunteer Efforts.
  • Retirement plan - 4% employer match. Eligible Day 1. 
  • Wine allowance - $40 a month towards your Nakedwines.com account
  • Gym contribution - Up to $25 a month towards a gym membership
  • Personal Pathways - the Company will pay up to $500 annually towards training on any topic and may be personally interested in pursuing (doesn't have to be work-related)
